Step 2: How to set up auto-scheduling

Top Tips

  • You must be in scheduling mode in order to switch on auto-scheduling. 
  • Any tasks and milestones added to the plan before auto-scheduling has been activated will need to be manually added into the auto-schedule process.
  • Any changes made to the auto-scheduling are project specific and will impact all project members.
  • If you intend to import an MS Project plan and want to use auto-scheduling, this must be turned on prior to the import.
 

What is auto-scheduling? 

When auto-scheduling is switched on, the Gantt will automatically re-schedule the start and end dates of any linked tasks or milestones. Tasks and milestones are linked together using dependencies. See Step 6: How to manage dependencies between tasks and milestones for more information on this. 

Enable auto-scheduling on your plan

Click on ‘Scheduling’ in the top bar next to ‘Add Task’. Once in scheduling mode, click on ‘Actions’ and ‘Auto Schedule’.

Choose between:

  • On - When this feature is switched on, the start date of the next linked task will update according to the end date of the previous task.
  • On (Strict) - When this feature is switched on, tasks will always be rescheduled to the earliest possible date and any slack will be removed

Auto-scheduling will be enabled for all new tasks and milestones added to the plan. Note: When switching on auto-scheduling, the ‘Refresh’ option can be used to update your Gantt with the new rule.

Identifying manually scheduled tasks and milestones

If you have added tasks and milestones to your plan prior to turning on auto-scheduling, these items will need to be added into the auto-schedule process. Any such items will display a pin symbol to the left - .  To add these into the auto-schedule process, click on the dropdown arrow next to ‘Edit’ and select ‘Auto Schedule’ for each record.

Tasks and milestones included in the auto-schedule process will display the following icon to the left -

 

Auto-schedule specific tasks and milestones

If required, it is possible to enable auto-scheduling on specific tasks and milestones i.e. on a specific group of activities in the plan. To do this, click on the dropdown arrow next to ‘Edit’ and select ‘Auto Schedule’. The item will now be set to auto-schedule and will display the following icon to the left

Repeat as needed until the required group of tasks and milestones are all set to auto-schedule. All linked tasks and milestones in the group will need to have ‘Auto Schedule’ enabled for the rescheduling to work.
