How to amend an existing Power BI report

Top Tips

  • Always complete a ‘Save As’ action before making any changes to a report. If you edit without doing a ‘save as' first, you could risk losing your updates.
  • Any saved reports will automatically be added to your ‘personal’ folder. These reports will only be visible to yourself unless you publish them. Note: only users with publishing rights can do this.
 

Whilst viewing a report, click on ‘Edit’ in the top right-hand corner.  

Next, click on File > Save As in the top left-hand corner of the screen. 

Give the report a new name and click ‘OK’. 

The screen will now refresh and you will find yourself back at the main menu of standard Power BI reports. Click into your ‘Personal’ folder where your newly saved report now exists. Click ‘View’.

Finally, click on ‘Edit’ in the top right-hand corner to start making changes to your version of the report. 

Data

  • This is the list of fields/data available to use within the report. These can be used as filters or added into the report to display more information. 

Filters

  • You can apply filters to the report as a whole or specific visuals. To apply a filter to the entire report, locate the ‘data’ you wish to use as a filter and then drag this into the ‘Add data fields here’ box in the Filter section. If required you can make further selections i.e just select the ‘Deliver’ stage from an initial ‘Stage’ filter. The filter is now applied. 
  • To apply a filter to a specific visual, click on the visual to highlight it. You will now see a new section in the filters column - ‘Filters on this visual’. Repeat the steps as outlined above to locate data and drag across. The filter is now applied to that visual only. 

Visualisations

  • To edit an existing visual, simply click on it to highlight i.e. click on the table or chart. You can then use the ‘Format visual’ options within the ‘Visualization’ section to amend the view. 
  • To replace an existing visual i.e., change a pie chart into a donut, simply click on it. Then, click on ‘Build visual’ and select a different visual. 
  • You can resize columns in the tables by dragging them to the required size. You can also sort the column ordering by clicking on the column header - to ascending or descending.

We recommend regularly saving your changes as you go. Click on File > Save.

Whilst in this screen you can also click on ‘View’ to see how the new version of the report looks. When ready, you can click on ‘Print’ to print the report into PowerPoint or PDF. 

Click ‘Cancel’ at any point to disregard the changes made. Note: Clicking ‘cancel’ will immediately discard your changes without a confirmation prompt.
