Power BI report permissions

This article covers the different permission levels and what they mean in practice. 

Standard Pro User

  • Will have automatic access to the 10 ready-made Power BI reports within the Reports Tab. 
  • Will only ever have access to their own data i.e. will see data based on their involvements.
  • Will be able to edit any of the 10 ready-made reports to create a version of their own (Save As). Note: any new version created will only be visible to them and will be stored in their personal reports folder.

Standard Pro User with Report Publishing Rights (via User Profile)

  • Will have automatic access to the 10 ready-made Power BI reports within the Reports Tab. 
  • Will only ever have access to their own data i.e. will see data based on their involvements.
  • Will be able to edit any of the 10 ready-made reports to create a version of their own (Save As). 
  • Will be able to publish their own version of the reports, making them accessible to all other users
  • Will be able to delete their own published reports. 

System Administrator (via User Profile)

  • Will have automatic access to the 10 ready-made Power BI reports within the Reports Tab. 
  • Will have access to the data they have permission to see i.e. if also a stage administrator or based on user involvements.
  • Will be able to edit any of the 10 ready-made reports to create a version of their own (Save As). 
  • Will be able to publish their own version of the reports, making them accessible to all other users
  • Will be able to delete any of the published reports - their own and anyone else's. 

Advice

  • Super permissions for the Power BI reports (ie. ability to publish or delete) are assigned via the User Profile. See ‘How to set up and manage user accounts’ for more information. 
  • Any changes a user's Power BI permissions (ie. ability to publish or delete) will take affect overnight. If these permissions need to be applied immediately, the report model must be refreshed. See ‘How to access the Power BI standard reportsfor further information on how to refresh the report model.
  • Stage Administrators do not have any super permissions unless these are added via their User Profile. Workspace users will not have access to any of the Power BI reports.
