Our AI-assisted data import enables users to easily move their programme and project data from Excel/CSV into Verto. By harnessing AI technology, we are able to eliminate the challenges previously posed by differing site configurations and Excel/CSV file formats.
Note: This functionality must be activated on your site - please contact the Support Desk for further details. It can either be made available to all users or restricted to just Verto Administrators.
Advice
- The goal of the AI-assisted import is to align data from an Excel/CSV file with the most appropriate fields in Verto. However, manual review and potential adjustments may still be required.
- To make the import process as smooth as possible, we recommend removing any unnecessary lines from the import file i.e. document titles, version numbers etc.
- All lookups in the Excel/CSV file must match the look-up options in Verto. Note: The import process will not be able to distinguish between active and inactive lookup tables in Verto.
What data can be imported?
The following data can currently be imported into Verto using this feature:

- Tasks & Milestones
Caution
- When importing tasks and milestones, the process does not recognise existing plan structures such as groupings or dependency links. Any structure must be recreated manually afterwards using the Gantt layout. This import feature is therefore best suited for high-level task and milestone lists rather than detailed project plans. How to import data
To import your data, navigate to the relevant project table/area in your project or programme and click on the downward arrow > AI Supported Import.

The following pop-up will appear.

Select the file you want to upload. If the file has multiple worksheets, you will be prompted to select the relevant one.

The import process will map the columns in your spreadsheet to the best-fit fields in your Verto configuration. You will then have the opportunity to review and make any changes. Note: If the mapping process cannot match the data in the spreadsheet with a field in Verto i.e. there is no logical corresponding field for the data to import into, this information will be excluded from the process and can be manually added once the import is complete.
At the top of the screen you will see the Verto field names from your site configuration (indicated by the Verto logo). Underneath each, you will see the suggested mapped columns from your spreadsheet. If there isn't a mapping suggestion to a Verto field, you will simply see ‘No mapping’ in the spreadsheet line.

To map a Verto field to a different spreadsheet column than the one suggested, click on the description header and select another option from the list:

The screen will immediately update to show the new information from the spreadsheet mapped to that Verto field:

Alternatively, where data hasn't mapped to a Verto field (it displays ‘No mapping’) but you know there is a match, you can select the relevant spreadsheet column to update the import:

When you have completed the mapping, select ‘Next’.
A new screen will appear from where you can make any required changes to the content of the import. For example, if in the spreadsheet the risk score is ‘High’ but in Verto the score is tracked by using a 5x5 risk matrix, click on the matrix icon to select the appropriate risk score. There is the option to ‘Apply All' which will update any other ‘High’ risk scores with the same score.

You can also make updates to any of the text, change lookup options and search for owners in Verto. If needed, you can also ‘untick’ any lines that should not import into Verto.

When ready, click on ‘Save’. This will complete the import process and the information will now be visible in your project or programme.
Top Tip
- If upon clicking ‘Save’ nothing appears to be happening, this will be because somewhere in the import file there is missing data that is mandatory in Verto i.e. a missing date field in a task and milestone import. You will need to review the data on screen until you locate a ‘this is a required field’ message in red (see example below). Update all flagged sections as needed or untick the line if it should not be imported. Then click ‘Save’ again.
