Verto Intelligence Partners (VIPs) are AI specialists in their fields i.e. Finance Manager, Risk Manager, Benefits Manager etc. They can advise you on your project or programme, where it is, what needs to happen next and even add data for you! Having access to these experts offers valuable training opportunities for new or “accidental” project managers, while also reducing the time spent on administrative tasks.

Top Tips
- Use the '@' to direct a question to a specific VIP in your conversation group.
- Add ‘Carol Coordinator’ to your chat group to help coordinate and facilitate obtaining answers from the best fit VIP.
- If you don't want other team members to see your conversations with the VIPs you can mark them as ‘private’.
What can a VIP do?
Upon request a VIP can complete the following activities:
- Help you understand and explore your programme and project data
- Chat with you about your data and help you brainstorm
- Provide recommendations and suggest changes to your data i.e. change the overall status
- Add new records into your programme or project - Risks, Issues, Costs or Tasks & Milestones.
How to access the VIPs
Whilst in your project or programme, click on the ‘Verto Intelligence’ icon in the left-hand menu. Next, click on the ‘Add’ button to start a conversation.

A new pop-up will appear.

- Topic - this is the title for your conversation i.e. SLT Updates, General Questions etc.
- Include Hierarchy - check this box if you want the VIPs to review all linked projects/programmes in the hierarchy when providing answers. Note: this is permissions based. The VIPs can only access the data you have permission to view. Any groups which have the hierarchy included will automatically be set to private.
- Private - check this box if you want to hide your conversation from other team members. If this box isn't checked the conversation will be visible to everyone named on the project or programme.
- Partners - select the VIPs you would like included in the conversation. Note: There are currently 17 VIPs, each one a subject matter expert in their field i.e. Risk Manager, Finance Manager, IT Manager etc. There is also a coordinator role which can be used to help coordinate and summarise responses from the other VIPs in the group - we definitely recommend adding ‘Carol Coordinator’ to your chats!
Once you have created your group, click ‘OK’. You will automatically be presented with a pop-up containing some useful guidance. Simply click ‘OK’ to dismiss.
Caution
- When creating a new conversation, selecting a large hierarchy may trigger the message below. To continue, you’ll need to either exclude some projects in the hierarchy from the conversation, or reduce the research depth. Refer to “Amending the Research Depth” below for guidance.

Amending the Research Depth
When generating responses, the VIPs will review all aspects of a project or programme. If required, this can be adjusted to just focus on specific elements, such as just the risks or issues. This targeted approach is especially valuable if you have large, data-intensive projects or programmes.
Whilst in your conversation, click on Actions > Research Depth.

- Excluded Projects - If you have included a large hierarchy group, you can choose to exclude specific projects from the conversation.
- Application Controls - You can choose to exclude specific areas of the project or programme from being reviewed by the VIPs i.e. exclude savings.
- Depth - The research depth impacts how many days of update history are available and how much detail the VIPs are able to extract from free text fields. For the best results this should always be set to ‘Very Deep’. Note: If you find that you are exceeding the research capacity limits, we recommended first excluding controls which may not be relevant to the conversation before adjusting research depth. The maximum research capacity is 100%. The more detailed research depth the higher the capacity utilised.

Click ‘OK’. The VIPs will now provide responses and detail levels based on these selections.
Starting a Conversation
Type your question into the bottom search bar of the chat and click on the ‘Send’ button. Click on the ‘?’ button to view the guidance pop-up again.

Your question will be presented to all VIPs included in the chat group. If the coordinator VIP is one of them, they will ask everyone to provide their response to your question before summarising.

You can continue to add questions and interact with the group as needed.
Amending the Partners
If needed, you can add or remove VIPs from an existing chat group. Simply click on the ‘Partners’ button and adjust as needed (add or remove). Note: any new VIPs will not have access to the previous messages and will need to be asked any questions directly.
Amending the Partner Personalities
Each VIP can be given a personality which will inform the way they respond to questions. For example, a Risk Manager might be a ‘Pessimist’ and a Benefit Manager might be ‘Questioning’. These personalities are set as standard but can be changed if needed. Note: any personality changes will affect all conversations with that VIP in the project or programme, not just your conversations.
To change a VIP personality, hover over their initials at the top of the conversation screen and then click on ‘Edit’.

Select the new personality from the dropdown and click ‘OK’.
Edit or Delete a Conversation
Click on Actions > Edit to amend the title of your chat.
Click on Actions > Delete to delete the chat. Note: this is irreversible and will delete the chat from everyone's view.
Advice
- Can the VIPs understand organisational context? Yes. The VIPs can understand the organisational context within which they are operating. They will consider this information when providing a response to questions. Before activating the VIPs on your site, we will ask you to provide some organisational context such as a brief overview and background, any strategic objectives, operational constraints etc.
- Can a VIP import data into Verto? No, a VIP agent can only analyse data already in Verto.
- Can everyone on the programme or project see a conversation with the VIPs? Yes, by default any conversation with the VIPs will be visible to all team members. However, if you want to keep the conversation private you can tick the 'Private' checkbox when setting up the chat group. Note: Any groups which have the hierarchy included will automatically be set to private.
- Can a VIP interrogate data at different levels of the hierarchy (i.e. programme or portfolio level)? Yes, when setting up a chat group tick the 'Hierarchy' checkbox. The VIPs will then analyse data from all records within a hierarchy group. Note: User permissions are still respected - the VIPs will only have access to the same records in the hierarchy that you do.
- Can you have multiple chats running at the same time? Yes, multiple chats can be created within the same programme or project, supporting different topics and different users.
- Do the VIPs have access to the internet? No, they cannot send your data or information to the internet and cannot do an internet search for you. They only have access to the data within your Verto site.
- Do changes or updates made by the VIPs show in the Change History? Yes, anything added or changed by a VIP will show in the Change History and will have the Verto Intelligence symbol against it.
- Do the VIPs learn? No. Each time a question is asked it is like it's the very first time - this is why you may get variations in answers.
