How to view allocated resources on your project

From within a project, click on the Resourcing icon in the left sidebar and then click on the teal flyout.

Select ‘Allocated Resources’ from the menu.

 

All project resources will be listed on the left-hand side of the screen. Use the filter options to define the period and view you wish to see. Next, select the resource name(s) you wish to include. 

 

Depending on the unit selected, the heatmap will display the following information:

  • The total hours that have been allocated to each resource, per period (day, week or month)
  • The overall percentage of allocation per resource, per period (day, week or month). Green: 0-89% allocated, Amber: 90 - 99% allocated, Red: 100% allocated, Black: over-allocated for that period. Note: This percentage is the overall allocation percentage for that period and not the percentage of time just against the project.
  • The total allocation per period (day, week or month) as a proportion of each resource’s FTE (e.g. 0.40, 1.0)

 

From here, it is also possible to see a breakdown of any other projects the resource is working on, or any other unavailability they have during that period i.e. bank holidays, annual leave etc. Unavailability will be fed from the user's Verto calendar. 

Click on the triangle to expand the resource details. 

If the resource isn't a project member there is an option to add them via this screen. Click on "Click here to add user to "Team Members" and select the project role required.

Advice

  • An allocated resource must be added as a project member in order to see the project details.
  • All project members can view the allocated resources.
  • The heatmap will display resource allocation/capacity based on the core site settings i.e. daily/weekly/monthly, standard working hours etc. If a resource request includes bank holiday working, this will show on the heatmap as a double counted and the user will show as over-allocated. A resource request can be expanded using the triangle to see if it includes weekends or bank holidays.
