How to view resource related costs for your project

Top Tips

  • Resource related costs will automatically be displayed in the cost table for all projects where there are allocated resources. 
  • Resource related cost data can be surfaced within a Dashboard using a data table widget.
  • Resource related cost data is available within the OData reporting model.
  • If the planned or actual costs are not displaying correctly in the cost table, this is often due to expired Rate Cards. See How to use rate cards to track resource costs [System Administrator] 
 

Please contact Verto Support if you would like this feature enabled on your site. 

Once a resource request has been allocated to a project (via Actions > Allocate), a cost entry is automatically created for each allocated resource for every month they are assigned. Depending on your configuration, the title will display either the resource name and project role or the project role only. The planned cost is also calculated and populated at this point based on each individual's rate card. Note: This information is set to read-only and cannot be changed. 

 

As each individual records their actual time spent against the project via How to record time against your project, the actual cost field will automatically populate. This again will use the individual's rate card information. 

Advice

  • For resource related costs to be displayed in the project cost table, the following features must also be enabled on your site: 
    1. Rate Cards - Each resource assigned to the project must have a rate card. The rate is used to calculate both planned and actual project costs, based on the time worked.     2. Resource Tracking - Assigned resources must track their actual time spent working on the project. This information is used to calculate actual project costs. For more information see - How to record time against your project 
  • When contacting Verto Support to enable this feature, please confirm the following:
    1. How should resource costs be displayed within the cost table - 
      • User and Project Role - Display the resource name and project role alongside their planned and actual costs i.e.  ‘Belinda Jones (Project Manager)’. Note: This information will be visible to everyone with access to the project. 
      • Project Role Only - Display the project role without the resource name. Note: The project role is picked up from the Team Members control within the specific project. If the specific resource is not named in the Team Members control, the cost line will display ‘Project Role Not Set’ for the title. 
    2. Should a project be able to apply their own view of the resource costs? If this feature is enabled, on a project-by-project basis, anyone within the project will be able to change the cost table view to switch between not showing the resource related costs, showing them by individual name and project role, or just project role.
