To help keep the Verto calendar up-to-date with user unavailability, System Administrators can regularly import absence data into Verto.
Click on Administration Cog > Import > Absence Data. Next, select the file to upload.

A new pop-up will appear:

- Unique Identifier Type - Select the unique identifier type to be used for the import. This will either be Email, UserID (Verto) or Employee Number.

Column Mappings:
- Unique Identifier (Mandatory) - select the column in your import file containing the unique identifier i.e the email address or employee ID. Note: This should match the ‘Unique Identifier Type’ selected.
- Start Date (Mandatory) - select the column containing the start date of the absences.
- End Date - select the column containing the end date of the absences. Note: End Date is optional. If the file has only a “Start Date,” one absence entry will be added for each row. If both a “Start Date” and “End Date” are included, an entry will be added for each day in that date range.
- Type (Mandatory) - select the column containing the title of the absence type i.e. Annual Leave, Training, Sick Leave etc.

Top Tip
- To make future imports faster, Verto will remember your previous selections and automatically fill them in next time (where applicable).
Click ‘Next’.
If the mapping process has been successful, you will see the following message and can simply click on ‘Import’:

If there are any issues with the data in import the file, you will see the following message instead:

You can either click ‘Close’ to fix the errors before re-importing, or select ‘Ignore & Import’ to proceed anyway. Once the import has finished, you will see the following message:

User calendars will now be updated to reflect the the imported data.
Advice
- The import file must contain the following:
- A Unique identifier for each absence line. Usually this will be the user's Email Address but can also be an Employee Number or Verto UserID. Note: if you are wanting to use an employee number this must be recorded within the Verto User Profile area.
- A Start Date for the absence.
- A Title for the absence. This becomes the title of the entry within the calendar.
- This import will not overwrite or delete any existing calendar entries. This must be done manually within the Verto calendar.
